Having a comprehensive employee scheduling software makes good business sense and can help your business succeed.
It can accomplish three important goals for your spa or salon: It can help you manage your business more efficiently, monitor and improve the productivity of your workforce, and deliver flexibility to your clients.
Scheduling software can keep track of details as specific as the amount of time required for services, rooms or equipment required and gaps in activity for staff during a service. This means that when a service or service package is requested, the software can look at all of the required resources and determine the best time to schedule the appointment. Then it can block out not just the appointment time itself, but the time necessary for each room and each service provider.
To increase profit margins and get the most from every client, service and staff hour, you need to keep track of all of these resources and be able to make adjustments on a regular basis.
Entering employee schedules in Booker is easy. It completes an employee’s profile by complementing the information you’ve already added that outlines their compensation and services.
You’ll begin by establishing a default, regular weekly schedule for each staff member. You can designate an employee’s hours for every day of the work week.
You may have a biweekly schedule, or your employees’ schedules may vary month to month. You can make these adjustments at any time after entering their standard schedule by using the Employee Schedules page in the Schedules tab.
Go day-by-day using the drop-down menus to label each day of the week. Initially, you can select from Workday or Day Off. Vacation day, sick day, or training day designations are also available, but are more likely used for week-to-week schedule changes.
Next, you can enter the hours each employee works. Use the Start Time and End Time drop-down menus to select working hours for each day. For example, if an employee works from 9 to 5 on a given day, select 9:00 AM from Start Time and 5:00 PM from End Time. You can also note when an employee takes their lunch hour.
Once you have completed the entire weekly schedule, click Complete.
One-time changes to an employee schedule can include a sick day, personal day, training day, longer or shorter hours, or a switch with another employee. Any change to an established schedule can be made from the Schedules tab by selecting the week in which the change occurs from a drop-down menu under Select Week in the Employee Schedules page in the Schedules tab.
Click on an employee’s name. You can change a day or time in the employee's schedule by selecting the Day Type drop-down menus to select if the day is a work day, day off, vacation day, sick day, or training day. Use the Start Time and End Time drop-down menus to edit working hours for any changed day.
To make a permanent change to the employee’s regular schedule, go back to Regular Schedule from the Select Week drop-down menu and alter the hours displayed there.
Once your employee schedules are established, you’ll want to monitor them to see if there is any way to improve the productivity of your staff.
The Employee Utilization Report can help you do this. It allows you to quickly and easily see what percentage of each employees available working hours were actually booked. You can find this function in the Reports tab under Employee/Staff. It also allows you to select the timeframe you’d like to see. For instance, you can select Today, This Week, This Month, Last Year, or specify a time period, such as July 1 through July 22. Then click View Report.
This report can give you detailed information about the employee, such as the number of Total Scheduled Hours, Hours in Service, Number of Services, and Number of Products sold. You can print this report, too.
Being able to establish, manage and monitor your staff’s schedules using a comprehensive software platform has additional advantages. It can free you to spend more time with your clients. It can eliminate double bookings and it can potentially reduce "no-shows" through email confirmations and reminders.
